Open house visitor checking in on a phone with EcoAdmin

That clipboard by the door is where your leads go to die.

A paper open house sign-in sheet loses leads. Scribbled emails bounce. You never find out who already has an agent. And when someone asks for proof you gave the Fair Housing and 443 disclosures, all you have is a coffee-stained sheet. EcoAdmin replaces the clipboard with a QR code open house sign-in that collects clean details and signed NY forms from every visitor.

How to run an open house sign-in with a QR code, step by step: one Sunday in New York with EcoAdmin, from importing the OneKey® MLS listing to the last lead.

  1. Search by address or listing ID. The photos, price and details come with it, so there's nothing to retype. Attach a flyer if you like.

  2. Set the time, choose Public, Broker's Only or By Appointment, and tick the forms every visitor has to sign.

  3. Every open house gets its own code and share link. Print it, or text the link to buyers before they arrive.

  4. No app to download. Buyers and visiting agents get their own short form, and buyers tell you whether they already have an agent, before you start the tour.

  5. Each form opens pre-filled with your name, your brokerage and theirs. They draw or type a signature. If someone refuses, they're still checked in and the refusal is recorded on the form.

  6. A notification arrives with every sign-in, so you can greet buyers by name.

  7. Every visitor is on the attendance list with their email, phone, budget, agent status and signed forms. Export a CSV or add them all to your contacts in one click, then start calling.

Get the 443 signed before they see the kitchen.

New York agents have to provide the 443 agency disclosure and the Fair Housing disclosure, and buyer agreements now come up far earlier than they used to. EcoAdmin puts all of them in front of the visitor at check-in, pre-filled and ready to sign.

Getting started

01What is EcoAdmin?

EcoAdmin is an open house sign-in app for New York real estate agents. Visitors scan a QR code, check in on their phone and e-sign New York disclosures and buyer agreements, and the agent gets every lead and signed form in one account. It imports listings from OneKey® MLS and costs $14.99 per month.

02How do I run an open house sign-in with a QR code?

Create the open house in EcoAdmin, download its QR code and print it for the door. Visitors scan it with their phone camera, enter their details and sign your forms on a web page, and each sign-in appears on your attendance list straight away.

03Is a digital open house sign-in sheet better than paper?

Yes, for leads and paperwork. A digital open house sign-in sheet collects typed contact details instead of handwriting, records whether each visitor already has an agent, and keeps their signed disclosures with their record. A paper sheet can't do the last two.

04Do visitors need to download an app?

No. Visitors scan the QR code with their phone camera and check in on a web page, so there is nothing to install.

05Is there an Android app?

EcoAdmin has an iPhone app and works in any web browser, including on Android phones.

NY forms and signing

06Which New York forms can visitors sign?

The NYS Fair Housing Disclosure, the NYS 443 agency disclosure, and non-exclusive buyer agreements at 2.5% and 3% for residential and residential investment purchases. Forms open pre-filled with the agent's name, the brokerage and the visitor's name.

07Do I have to give the NY agency disclosure at an open house?

New York Real Property Law § 443 requires the agency disclosure at the first substantive contact with a prospective buyer. When that contact happens at your open house, EcoAdmin puts the 443 disclosure in front of the visitor at check-in and keeps the signed copy, or the refusal declaration, with their record. This is general information, not legal advice.

08Is a fair housing notice required at open houses in New York?

Yes. New York Department of State guidance says real estate licensees must show the fair housing notice at every open house and on their websites. EcoAdmin includes the NYS Fair Housing Disclosure in the forms visitors can sign at check-in.

09What if a visitor refuses to sign the 443 disclosure?

They are still checked in. The refusal is recorded on the form, and EcoAdmin generates a Declaration of Refusal to Sign under NYS Real Property Law § 443(3)(e), saved with the visitor's record.

10Can I use my own brokerage forms?

Yes. Upload any PDF to the custom form builder and add signature, initials, date and auto-filled fields such as agent name, client name, property address and commission.

Leads and OneKey® MLS

11Which open house sign-in apps work with OneKey MLS?

EcoAdmin imports listings directly from OneKey® MLS. Search by address or listing ID, pull in the photos and details, and create the open house and its sign-in page from that listing.

12Can buyer's agents sign in too?

Yes. Visiting agents choose "I'm an Agent" and enter their name, email, phone and brokerage.

13How do I get my leads out?

Export the attendance list as a CSV file, or add visitors to your EcoAdmin contacts one at a time or all at once. Signed forms can be downloaded from each visitor's record.

Price and cancelling

14How much does EcoAdmin cost?

The Open House plan costs $14.99 per month for one agent and starts with a 14-day free trial.

15Can I cancel anytime?

Yes. There is no contract, and you can cancel from your account settings.

This Sunday, leave the clipboard in the car.

Set up EcoAdmin in about five minutes, print your QR code, and walk away from your next open house with every visitor signed in and every NY form on file.
