EcoAdmin FAQ: open house sign-in, New York forms, OneKey® MLS and pricing
Short answer
EcoAdmin is an open house sign-in app for New York agents. Visitors scan a QR code, check in on their phone and e-sign the NYS 443 agency disclosure, the fair housing disclosure and a buyer agreement. Listings import from OneKey® MLS. It costs $14.99 a month after a 14-day free trial.
Getting started
What is EcoAdmin?
EcoAdmin is an open house sign-in app for New York real estate agents. Visitors scan a QR code, check in on their phone and e-sign New York disclosures and buyer agreements, and the agent gets every lead and signed form in one account. It imports listings from OneKey® MLS and costs $14.99 per month.
Who is EcoAdmin for?
EcoAdmin is built for licensed real estate agents in New York who run open houses, including public opens, broker's opens and showings by appointment. Visitors and visiting agents use it free on their own phones.
What's the best open house sign-in app for New York agents?
For New York agents, the app should handle the state's forms as well as the sign-in. EcoAdmin was built for that: visitors e-sign the NYS 443 agency disclosure, the NYS fair housing disclosure and a non-exclusive buyer agreement at check-in, and listings import from OneKey® MLS. Compare it with Spacio and Curb Hero.
How does an open house sign-in work with EcoAdmin?
Import the listing from OneKey® MLS, create the open house and tick the forms visitors must sign, then print the QR code for the door. Visitors scan it, fill in a short form and sign on their phone. You get a notification for every sign-in, and each visitor lands on your attendance list with their signed forms. See a full Sunday open house, step by step.
Do visitors need to download an app?
No. Visitors scan the QR code with their phone camera and check in on a web page, so there is nothing to install.
Is there an iPhone or Android app?
EcoAdmin has an iPhone app and also works in any web browser, including on Android phones and computers.
What should I use instead of a paper open house sign-in sheet?
A digital sign-in that visitors fill in on their own phone. It gives you typed, readable contact details, asks whether each buyer already has an agent, and keeps their signed disclosures with their record, none of which a paper sheet can do. EcoAdmin does this through a QR code at the door.
Is there a free printable open house sign-in sheet?
Yes. EcoAdmin offers a free printable open house sign-in sheet as a PDF, with no email required. It includes a checklist of the New York forms a paper sheet doesn't cover.
Can I run a broker's open or a showing by appointment?
Yes. When you create an open house you choose Public, Broker's Only or By Appointment. Visiting agents get their own short check-in.
Can buyer's agents sign in too?
Yes. Visiting agents choose "I'm an Agent" and enter their name, email, phone and brokerage.
Does the sign-in ask if the buyer already has an agent?
Yes. Buyers tell you at check-in whether they're already working with an agent, so you know before the tour starts. The answer is saved on the attendance list.
New York forms
Which New York forms can visitors sign at an open house?
The NYS fair housing disclosure, the NYS 443 agency disclosure, and non-exclusive buyer agreements at 2.5% and 3% for residential and residential investment purchases. Each form opens pre-filled with the agent's name, the brokerage and the visitor's name, and you choose which forms each open house uses.
Which open house app handles the New York agency disclosure?
EcoAdmin puts the NYS 443 agency disclosure on the visitor's phone at check-in, pre-filled and ready to sign. It keeps the signed copy on the visitor's record and, if they refuse, records the refusal and generates a Declaration of Refusal to Sign.
Do I have to give the NY agency disclosure to every open house visitor?
Not to every visitor. Real Property Law § 443 requires the agency disclosure at the first substantive contact with a prospective buyer. Greeting visitors and answering general questions is usually not substantive contact, but a serious talk about price or an offer is. Many agents present it at sign-in so they never miss that moment. Read the 443 guide. General information, not legal advice.
How do I get buyers to sign the 443 disclosure at an open house?
Make it part of check-in. With EcoAdmin the 443 opens on the visitor's phone right after they enter their details, already filled in with your name, your brokerage and theirs, so signing takes seconds. Signed copies are saved to each visitor's record.
What happens if a buyer refuses to sign the 443 disclosure?
You can still work with them. Under RPL § 443(3)(e) the agent records the facts of the refusal in a declaration made under oath or affirmation and keeps it for at least three years. In EcoAdmin the visitor is still checked in, the refusal is noted on the form and a Declaration of Refusal to Sign is generated for you to complete.
How long do I have to keep signed agency disclosures in New York?
At least three years. RPL § 443(3)(d) says the agent keeps a copy of the signed acknowledgment for not less than three years, and refusal declarations follow the same rule.
Can the NY agency disclosure be signed electronically?
Nothing in § 443 requires paper, and NYSAR's counsel suggests electronic delivery and signature are acceptable. Check your brokerage's policy. EcoAdmin collects the signature on the visitor's phone and keeps the signed copy on their record.
Do I need a fair housing notice at my open house in New York?
Yes. Under 19 NYCRR § 175.29, New York licensees must display the Fair Housing Notice at every open house, in their office window and through a link on their website's homepage. This is separate from the Housing and Anti-Discrimination Disclosure form. Read the fair housing guide.
What's the difference between the NY fair housing notice and the fair housing disclosure?
The notice (§ 175.29) is displayed, for example at the open house and on your website. The disclosure form (DOS-2156, § 175.28) is handed to the consumer at the first substantive contact, with a signed acknowledgment kept for three years. EcoAdmin lets visitors e-sign the disclosure at check-in.
Is a buyer agreement required before showing a home in New York?
Not under New York state law as of November 2026. Bills that would require one (A8910/S9564) were still in committee, not law. Many brokerages ask for a written buyer agreement anyway, and EcoAdmin includes non-exclusive buyer agreement templates visitors can sign at check-in.
Can I use my brokerage's own forms?
Yes. Upload any PDF to the custom form builder and add signature, initials, date and auto-filled fields such as agent name, client name, property address, listing price and commission.
OneKey® MLS and leads
Is there an open house app that imports OneKey MLS listings?
Yes. EcoAdmin imports listings directly from OneKey® MLS. Search by address or listing ID, pull in the photos, price, beds, baths and description, and create the open house and its sign-in page from that listing.
Does OneKey MLS cover Manhattan?
No. Manhattan listings are on REBNY's Residential Listing Service (RLS), while OneKey® MLS covers areas such as Long Island, Queens and Westchester.
Will I know when someone signs in?
Yes. You get a notification with every sign-in, so you can greet buyers by name.
What information do I get about each visitor?
Their name, email, phone, budget, whether they have an agent and the forms they signed, all on the open house's attendance list.
How do I get my open house leads out?
Export the attendance list as a CSV file, or add visitors to your EcoAdmin contacts one at a time or all at once. Signed forms can be downloaded from each visitor's record.
Does EcoAdmin work with Google Calendar?
Yes. Connect Google Calendar once and your open houses appear alongside the rest of your week.
Who owns the leads and documents?
You do. Under EcoAdmin's Terms of Service you keep ownership of the contacts, documents and forms you collect, and EcoAdmin uses them only to provide the service.
